TankMail sends propane and other tank-filling companies' customers a daily or weekly email with their tank level. This page explains what we store to do that, and what we do not.
For dealers using TankMail
- Your account: company name, staff login emails, schedule, email wording, accent color and logo.
- Your customer list: each customer's Account ID, email address and daily or weekly choice. It is used only to send your tank emails.
- Tank readings: only the latest reading for each tank (level, status, time of reading, capacity and address from your report). We do not keep copies of your reports.
- Sending records: a log of what was sent and whether it bounced or was marked as spam, so we can stop sending to addresses that should not get mail.
For customers receiving tank emails
Your tank company gave us your email and Account ID so we can send you your tank level for them. Every email has a link to switch between daily and weekly, and a one-click unsubscribe. When you unsubscribe, your address goes on a do-not-send list for that company, so you are not emailed again.
Visitors to tankmail.app
- The request-access form is emailed to us and not stored on our servers.
- To limit abuse we count form submissions per connection per hour, using a one-way hash of your IP address, never the address itself.
- The form uses Cloudflare Turnstile to check that you are a person.
- Visit counts use Cloudflare Web Analytics, which does not use cookies.
Who processes data for us
- Cloudflare hosts the website and receives report emails.
- Google Firebase stores accounts, customer lists and readings.
- Brevo or Amazon SES delivers the emails.
We do not sell personal information.
Questions and deletion
Dealers can remove customers at any time from the portal. To close an account and delete its data, or for any privacy question, contact us using the address at the bottom of this page.
